PCI DSS: the questions every merchant should ask

Outsourcing payment collection can reduce exposure, but it does not make security responsibilities disappear.

PCI DSS is an industry security standard for protecting payment account data. The requirements relevant to a merchant depend on how payments are accepted and how data flows through the business. A provider can support your approach, but compliance is not something to assume from a logo.

Map the actual data flow

Identify where card data is entered, transmitted, processed and potentially stored. Include customer support tools, logs and third-party scripts, not only the payment form. A hosted checkout or hosted fields can reduce exposure, but the surrounding website still needs appropriate protection. Avoid putting sensitive payment information into analytics or error-reporting tools. A clear data-flow map gives your acquirer or qualified adviser a useful starting point for determining scope.

Clarify who is responsible for what

Ask providers for relevant current compliance documentation and a clear account of shared responsibilities. Establish who maintains payment integrations, manages access and responds to incidents. The appropriate validation method and any required assessment depend on your arrangement and the current requirements. Do not choose a questionnaire solely because it appears easier. Confirm eligibility and obligations with the party responsible for your merchant compliance programme.

Make security part of routine operations

Restrict access according to job needs, review accounts when roles change, and keep supported software up to date. Manage changes to payment pages carefully and check for unauthorised modifications. Train support staff not to request or record sensitive card data through unsuitable channels. Compliance validation is a milestone, not a substitute for ongoing protection. Revisit your scope when your checkout, integrations or business model change, using current authoritative PCI SSC guidance.

Key takeaways

  • Document payment data flows before defining scope.
  • Confirm validation and shared responsibilities with qualified parties.
  • Review security whenever payment integrations change.
